FAQs
Q: What does it mean if I am shown as a reserve?
A: If any swimmer withdraws from an event, we will reinstate reserves, fastest first, to ensure as far as possible that all lanes are filled. Unfortunately, if a swimmer fails to withdraw, pressure of time means that it will not be possible for us to fill empty lanes at the start of a heat.
Q: I have already given me entry fee to my club. Why is South East Region asking me for a cheque?
A: The entry confirmation reminds you that your entry fee must be paid before your entry can be accepted. If you have already paid your club, then the club will be forwarding your entry fee on your behalf.
Q: Why can't I get the Declaration and Summary Form as MS Word files to fill in on my computer?
A: What a good suggestion. It means that we don't have to try to decipher your handwriting. Word versions have now been added to the downloads list.
Q: What is meant by "ASA Club Code"?
A: Every club affiliated to the ASA is assigned a four character club code. This is used when submitting results to rankings. In South East Region, all club codes end in S. If you don't know your club code, a reasonably up-to-date list is now available in downloads.
Q: How do I enter Teams online?
A: Use the same online entry form as for individuals. Enter the name of the team as you would like it to appear on the programme in BOTH the first name and surname fields. Enter 00/00/00 for the date of birth and 00000 for the ASA registration number. (Next time we will do this properly!).
Q: What do I do if I don't get an e-mail confirmation of my online entry?
A: Unfortunately, e-mail is no longer a reliable means of communication, especially of a number of e-mails which look similar. There are lots of places in the e-mail system where "spam filters" remove e-mails that look as if they are unsolicited and unwanted. To check whether your entry has actually been received, look at the list on the web site.
Q: I got my club code wrong .. what do I do?
A: Don't panic. We validate all of the club codes against the latest list published by the ASA and correct any that we don't recognise.
Q: What happened to Crystal Palace?
A: An unacceptable level of asbesdos was discovered. Naturally this has to be rectified before the building can be reopened. This means that the pool is no longer available to South East Region for these Championships.
Q: Why are the Qualifying Times for Open Ladies and Junior Girls the same?
A: Qualifying times are based on the current level of performance across the country. At this time, levels of performance of Girls and Ladies from Junior age upwards are so similar that the promoters decided that it was not necessary to have different times. This is not true for Boys and Men, where performance continue to improve substantially above Junior Age.
Q: Why are we starting so late?
A: DC Leisure have made K2 available to us at very short notice, but don't feel able to disprupt their normal programme of activities in the morning at this notice. The Region agrees that this is a valid reason.
Q: Why are there no swim-down facilities?
A: There are restrictions on the number of occasions during the year when the K2 pool can be completely closed. This limit has already been reached for the current year. Again, given the situation, the Region agrees that it is reasonable to retain the leisure pool for public swimming. We will be providing gymnasium space for "dry land" warm-down.
Q: What about finals?
A: Our swimming programme was based on using the pool at Crystal Palace for 10 hours each day. It is not reasonable to run a competition until 11pm, so we will need to remove at least 2 hours from each day. One of the options is to eliminate some or all of the finals. This decision will be made after the closing date, when we will be in a position to estimate session lengths.
Q: Does this mean that reaching the Automatic Qualifying Time may not be sufficient for entries to be accepted?
A: Regrettably yes. We set the qualifying times on the basis of 10 hours pool time per day. On that basis we were confident of accepting everyone who achieved the automatic time. We now have less time and competition condition 4.5 allows us to restrict the number of entries in the interest of safety and the smooth running of the event.
Q: Is there a disk available for entries?
A: The new online entry mechanism replaces the old floppy-disk system, so there is no need to obtain a disk. We did try a "virtual disk" system for the last Championships, but more than half the lcubs who tried to use it were unable to e-mail their entries to us.
Q: Which e-mail address should I use for on-line entries?
A: Use the e-mail address that you want the confirmation to be sent to. You may either use the individual addresses of the swimmers, or the e-mail address of the club entries secretary.
